Job description

We are seeking a proactive and highly organised Executive Assistant (EA) to act as a strategic partner to the CEO. This essential role focuses on maximising the CEO's effectiveness by strategically managing their time, prioritising critical communications, and overseeing key projects.

Key Responsibilities:

  1. Mastering the CEO's Time: You will be in full ownership of the CEO's diary, going beyond simple scheduling. We need you to understand the business priorities to effectively manage the calendar, deciding which meetings the CEO absolutely must attend, and proactively declining or delegating the rest.

  2. Providing Seamless Support: You will be the administrative backbone to the CEO, handling sensitive documents, maintaining confidentiality, and ensuring everything runs smoothly behind the scenes

  3. Owning Executive Communication: You will act as the frontline for the CEO's inbox, triaging, drafting, and managing communications to ensure efficiency and focus.

  4. Managing Projects & Data: You will coordinate key projects and initiatives for the CEO, tracking all timelines and deliverables to ensure deadlines are met. This includes researching and compiling detailed data for high-level reports, pricing proposals and presentations.

  5. Commercial Operations & Research: Act as a central point of contact to coordinate cross-functional teams in gathering critical data.

  6. Management of Personal Assistance: Directly oversee and manage the performance of a Personal Assistant whose primary responsibility is providing administrative and scheduling support to the C-Suite executive team.

  7. Proxy Representation and Meeting Management: Attend key internal meetings on behalf of the CEO. This includes:

    1. Acting as the CEO's representative at internal meetings

    2. Taking detailed notes, identifying critical action items, and tracking next steps.

    3. Ensuring the CEO is fully and promptly debriefed on all outcomes, decisions, and relevant context following the meeting.

Job requirements

You should have significant experience supporting C-Level executives, demonstrating impeccable judgment, and a proactive, "anticipate-the-need" approach. If you thrive in a fast-paced environment and view administrative support as a strategic partnership, we encourage you to apply.

  • Proven experience (5+ years) as an Executive Assistant or similar role supporting a C-level executive.

  • Ability to analyse information, identify trends, and use data to back up recommendations. You are comfortable working with metrics and turning raw information into actionable insights for leadership.

  • Exceptional organisational and time management skills, with meticulous attention to detail.

  • Ability to exercise impeccable discretion and judgment in handling confidential information.

  • Expert-level proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Strong verbal and written communication skills.
